Project Coordinator

ASSA ABLOY Entrance Systems, Pedestrian Door Solutions, an international manufacturer of automated doors, is considering candidates for a Project Coordinator position situated in Hamilton, NJ.

The objective for this position is to support the Door Automation Sales and Operations Departments by reviewing, adjusting and preparing for handoff, all booked orders and execute with complete customer satisfaction.

 

RESPONSIBILITIES

  • Postured to execute and promote all inside sales support activities as required to meet end-user customer demands on a daily basis in a timely and accurate manner.
  • Review all booking for accuracy and compliance with project specifications.
  • Review all bookings for accuracy and compliance with regard to NY, NJ, DE, PA Building code, and ADA requirements.
  • Make necessary alterations in quoting platform.
  • Interact with Custom Committee to ensure jobs are entered and laid out correctly where required.
  • Communicate cost associated with project changes with Sales reps and assist with booking changes where necessary.
  • Act as a liaison between the Sales, Production and operations teams.
  • Place requests for shop drawings with drafting sub-contractors.
  • Submit drawings to Architects and or General Contractors for approval.
  • Review redline drawings, revise and resubmit where necessary.
  • Submit substitution requests on projects where AAES product is not specified in a timeline consistent with project specifications. 
  • Interface with architectural representatives on specifications. 
  • Follow-up to all sales reps requests and incorporate into normal routine.
  • Ensure all project requirements are detailed in project folder.
  • Post project related documents to e-folders.
  • Participate in project handoff meetings with Operations Department.
  • Communicate project lead-time requirements in advance of project handoff meeting for ‘rush” projects.
  • Handle and follow-up on all end-user customer requests in a professional and courteous manner.
  • Execute on-line research for missing company/contact information and document accordingly.
  • Interact with the end-user customer.
  • Communicate RFQ for service contracts to the Contract Sales Department.
  • Communicate custom project details to the Contract Sales Department for Pro-Active Care sales efforts following turnover to end user.

 

Project Coordinator - Continued

  • Regularly maintain any/all project related details, reports and lists in an organized fashion.
  • Attend job meetings as required.
  • Attend and participate in weekly sales calls, pre-bid calls, large project renewal calls and individual district calls.
  • Be involved in any/all end user customer complaints.
  • Perform work in a safe manner for prevention of accidents to themselves, co-workers, the general public and property of all concerned.
  • Work alongside to develop synergies in an efficient competent manner with the Install and Service Group to include:  Operations Managers, Service Management, Install Coordinators, Pro-Active Care Sales Reps, Service Dispatch and Office Administration.
  • Complete understanding of workflow within the Install Department.
  • Any other related duties as required or assigned.

 

ACADEMIC PROFILE:                   

  • High School Diploma (required).
  • AA, BA, BS preferred.

 

EXPERIENCE PROFILE:               

  • Two – five years working as Sales or Operational Coordinator, in the automatic door industry or related field.
  • Experience in working in pressure field environment a plus.
  • Experience working with many associates and personalities a definite plus.

  • Computer ability: Word, Excel, and Power Point.
  • Professional appearance.

  • Grace under pressure. Ability to juggle many projects simultaneously.
  • Organized.
  • Understand/learn about the profession of selling.
  • Understand California Building Code.
  • Understand OSHPD requirements.
  • Understand Seismic and ICC ratings and requirements.
  • Self-motivated.
  • Ability to take direction well.
  • Excellent verbal communication skills.
  • Ability to work well within a group in an office/team environment.
  • High-energy, results-oriented approach.
  • Reliable and disciplined.
  • Good follow-up skills.
